Cancellation Policy

Rental Contact

The Rental Contract outlines the details of your booking including the group name and contact details, the number of guests, booking dates, accommodations, meeting rooms, meals and special diets, etc. The Rentals Contract and deposit also serve to reserve and secure your booking.

Our Rentals Coordinator will work with you to confirm all details of your booking to send you the Rental Contract. Any changes to the Rental Contact must be made by the cut-off date. (The cut-off date is 14 days before the first day of the booking.)

Deposits

To secure your booking, Camp He Ho Ha requires a deposit of 20% of the total booking fee listed in the Rental Contract. Deposits are required at the time of booking or within 60 days of the receipt of the rental contract.

Changes to your Booking

All changes to the booking, including the number of guests, room requirements, dietary concerns, etc., must be made before the cut-off. (The cut-off date is 14 days before the first day of the booking.) If the rental group requests changes after the cut-off these changes must first be approved by Camp He Ho Ha. Unfortunately, due to ordering lead times, we may not be able to honour all requested changes to your Rentals Contract.

Please note that even if fewer guests stay at Camp than the amount stated in the Rental Contract the rental group is responsible for paying for the total number of guests confirmed in the Rentals Contract. (eg. Rental Contract confirmed for 35 guests, only 30 guests come to Camp. The Rental Group is required to pay for 35 guests.) ABSOLUTELY NO EXCEPTIONS

Please note that no additional guests are permitted with your rental unless first approved by Camp He Ho Ha. ABSOLUTELY NO EXCEPTIONS

Payment

The facility rental group will be invoiced and charged based on the Rental Contract plus any additions, damages, and incidentals.

The balance of the final invoice is due upon checkout.

Rescheduling

If your group can no longer join us at Camp He Ho Ha or you need to cancel your event for any reason, we hope you consider rescheduling.

Cancellations

Deposits will be refunded ONLY with written notice of the cancellation received by Camp no less than 90 days prior to the first day of your booking. 

Note: The deposit becomes non-refundable 90 days before the first day of the booking.
